We ask you to familiarize yourself with the following terms of participation. These terms serve as guidelines to ensure a productive and respectful community for all members. By participating in the events organized by the AST Consortium, you agree to abide by these terms and uphold the values of collaboration, innovation, and inclusivity.
1. Registration To participate in the conference (forum, symposium, workshop, summit, etc.), you must register for the event. This involves completing an online registration form and paying a registration fee.
2. Abstract and paper submissions Participants are required to submit an abstract (or a full paper) of their research work. The submission should include the title of the paper, the author's name, the institution, and a text.
3. Review process The abstracts submitted are usually reviewed by the conference committee. The committee may accept or reject the abstract. If accepted, the participant will be invited to present their paper at the conference.
4. Presentation format The conference committee may specify the format of the presentation. It could be an oral presentation, a poster presentation or a virtual presentation.
5. Payment of participation fees Participation in the conference requires payment of registration fees. These fees cover the costs of organizing and hosting the conference, including venue rental, catering, and technical support. Participants are responsible for paying the registration fee in full by the specified deadline. Failure to pay the registration fee may result in the participant's application being rejected or their presentation being cancelled. The payment process and options will be clearly stated on the conference website, and participants are encouraged to pay as early as possible to secure their place at the conference.
6. Conference code of conduct Participants are expected to behave professionally and respectfully during the conference. Any form of harassment or discrimination is not tolerated.
7. Publication The AST Consortium may publish the papers presented at the conference. The participant should agree to allow their paper to be published.
8. Copyright The participant should ensure that their research work is their original work and that they have not violated any copyright laws.
9. Visa and travel arrangements If the conference is taking place in a different country, the participant should ensure they have the necessary visa and travel arrangements.
10. Accommodation Participants are responsible for their accommodation during the conference.
11. Liability The conference organizers are not liable for any damage or loss to the participant's property during the conference.
12. Cancellation and refunding policy In the event that a registered participant is unable to attend the conference, they may be eligible for a refund of their registration fee. The participant should contact the conference organizers as soon as possible if they are unable to attend. The refund policy strictly depends on the date of cancellation. Provided written notice is received in three months before the conference, a full refund will be given less a 10% administration charge. Provided written notice is received in two months before the conference, a 50% refund will be given. It is regretted for registrations cancelled in one month before the conference, or for no-shows at the conference, the full fee (100% cancellation charges) will be payable. In the unlikely event that the AST Consortium shall deem it necessary to cancel the conference, all pre-paid registration fees will be reimbursed. The AST Consortium shall not be liable for reimbursing the cost of travel or accommodation arrangements made by individual delegates.
